Annual Bible Conference Checklist of Responsibilities

Considerations

These responsibilities are listed in relation to how they have been fulfilled in years past.

Just because something is listed as a host church responsibility does not necessarily mean that the church has to take care of it.

Just because something is listed as a Council of 6 responsibility does not necessarily mean that the host church cannot take care of it.

Communication between the Council of 6 and the host church is essential.

The pastor (or point man) of the host church should make sure to contact the chairman of the Council of 6 with any questions he might have.

The Council of 6 will plan a meeting with the host church pastor/leadership in the spring of each year to go over this checklist and make preliminary plans.

Council of 6 Responsibilities

The Council of 6 will be responsible to:

Determine the location for the Annual Bible Conference.

Select and schedule the speaker for the Annual Bible Conference.

Select the date for the Annual Bible Conference based on the availability of the speaker and the host church facilities.

Secure lodging for the speaker.

Secure a vehicle for the speaker to use.

Determine the honorarium for the speaker.

Mail out the promotional material for the Annual Bible Conference.

Mail out the MRBF Official Documents Package prior to the Annual Bible Conference.

Host Church Responsibilities

The host church is responsible to:

Provide the Friday evening meal for the conference.

Send out sign-up sheets to the attending churches for the Friday evening meal whenever they deem it necessary and timely for planning purposes.

Provide a continental breakfast for those attending the morning camp meeting.

Send out lodging information for fellowshipping churches.

Provide a conference bulletin for those who are attending.

Make copies of the sermon outlines if the speaker makes them available.

Set up a children’s ministry (children’s church) for the conference sessions.

Utilizing the help of the youth pastors in the fellowship is a good way to accomplish this.

However, if you want to do this “in house,” that is fine as well.

Provide and staff a nursery for the conference sessions.

Make sure there is a song leader for the conference sessions.

Make sure there is a pianist for the conference sessions.

Be involved in the scheduling of special music for the conference sessions.

Make sure the conference sessions are being recorded.
